Good evening,

The following is being forwarded to you at the request of Richard Baier…



Attached is the latest District Action Plan. As you are already aware, all outdoor court and equipment closed at 5:00 p.m. today. Due to Executive Order No. 20-91, which was signed by Governor DeSantis on April 1, 2020, District departments are enacting plans that will allow us to continue to provide essential services while following all recommended guidance of local and state Health Department officials. I have included an overview of the major operational changes that will take effective tomorrow, April 3rd. Please note that this is just an overview and each department is working internally to ensure continued operations in this new and unique environment!



District Offices

· Members of District Departments are working remotely and are happy to respond to resident inquiries. All District Administrative Offices will be closed to the public and will have minimal staff present to provide services electronically. To contact a District department, please email your information (all email addresses are included in the attached plan and will be located in all District communication correspondence) and we will be happy to respond via email or telephone.

· With the exception of The Villages Public Safety Department and Community Watch Dispatch, a recording will be placed on all incoming District phone numbers. The recording will direct residents to email the department or contact Community Watch Dispatch for assistance. Each department has internal plans in place to ensure that communication is handled in a responsible and timely manner.



Customer Service, Courier & Communication

· All Customer Service services (ID cards, gate access cards, guest IDs, etc.) will be handled electronically or over the phone. For example, Temporary IDs will be issued to those owners who have lost their IDs. These IDs do not require pictures and can be mailed to the owner the day they are requested. We have communicated with Golf to ensure that residents will not see a negative impact in any of our operational changes regarding ID or Guest ID services.

· The District will continue to provide information via Village Community Development Districts, Weekly Bulletin, e-Notifications, etc.

· The Couriers will continue to collect utility/amenity payments at all of the postal facilities.



Finance & Utility Billing

· Finance will continue to provide essential services including Utility Billing, Accounts Receivable, Accounts Payable and Bond services to residents. Most staff will be working remotely and will respond to resident/Board Supervisor inquiries as needed.



Community Standards

· ARC meetings will continue through conference calls each Wednesday as they have over the previous 2 weeks.

· Staff will be working remotely to process all ARC Applications and prepare for meeting.

· Due to the Executive Order, we will not be processing new deed compliance violations during the duration of the Executive Order.



Recreation & Parks

· All Recreation activities will remain closed/cancelled until further notice.

· Select administrative staff is working remotely and will handle resident inquiries as needed.



Purchasing, Budget, Administration, Risk Management

· Select administrative staff is working remotely and will handle inquiries as needed.



District Property Management

· All essential services are continuing. Staff is working remotely and in the field to ensure continuity of services.



Community Watch

· All essential services are continuing.

· Dispatch will assist with phone calls for other District Departments and will provide messages to appropriate departments as necessary.



Human Resources

· Staff is working remotely and in the office to ensure continuity of services.
